The Customer

A global pharmaceutical organization expanding across multiple international markets required a scalable, compliant mechanism to manage healthcare professional (HCP) consent validation. With both GDPR and country-specific data privacy regulations to be adhered to, the organization needed to move away from fragmented, manual processes and adopt a unified, compliant, and future-ready data consent validation framework that reinforced customer trust and supported its growth ambitions.

The Challenges

Manual and Inconsistent Validation Processes – The organization relied heavily on manual workflows to capture and validate HCP consent across its markets. This not only slowed down operations but also created inconsistencies in how consent was processed, increasing the risk of non-compliance with GDPR and other regional mandates.

Market-Specific Compliance Requirements – Each EU & NA country had its own regulatory nuances, from opt-in rules to data retention policies, making it difficult to scale a one-size-fits-all approach.

Lack of Scalability – As the company entered new geographies, its legacy systems were unable to scale and adapt efficiently. The absence of automation made it difficult to manage growing volumes of HCP data and support consent validation at scale.

Unified Compliance – To manage consent effectively and establish a compliant consent capture and processing system across their markets, the company required a centralized system capable of capturing, processing, and tracking consents from multiple sources.

The Solution

Indegene implemented a robust, Workato-powered consent validation engine to automate and streamline HCP consent workflows across 16 markets in the EU and North America. This end-to-end automation ensured consistency, compliance, and efficiency in managing HCP consent across all operational markets.

Automated Consent Validation with Workato – Deployed Workato, a low-code enterprise embedded iPaaS solution, as middleware to orchestrate real-time consent validation workflows across various platforms. The automations reduced manual interventions, ensured accurate consent tracking, and improved operational efficiency.

End-to-End Integration Architecture – Enabled full data flow automation, from consent capture through the website, to consent validation and ingesting consent data into the CRM, ensuring a seamless, scalable, and compliant digital backbone for HCP consent management powered by Workato integrations. A fully integrated consent management system was established, enabling seamless data flow from web platforms to the consent database, through Workato for validation, and into Veeva CRM or Salesforce for marketing and engagement.

Centralized Consent Capture and Management – Consolidated consent intake from over five digital channels into a secure, centralized Consent Management System. This enabled consistent and auditable capture, storage, and tracking of HCP consents across markets.

Country-Specific Consent Logic – Designed dynamic, rule-based workflows in Workato to accommodate individual market requirements:

Double Opt-In for Germany: Automated two-step confirmation for HCPs using integrated SFMC journeys, in line with Germany’s stringent privacy mandates.

Direct CRM Sync for Other Markets: In less regulated countries, valid consents were automatically pushed into Veeva CRM, bypassing unnecessary steps while maintaining compliance.

Outcomes

The implementation of Workato’s embedded ipaas automation transformed HCP consent management across markets, improving efficiency, compliance, and scalability. The solution provided a unified framework for handling data consent, reducing manual effort, and ensuring seamless integration across all touchpoints, thereby enhancing operational efficiency and regulatory adherence.
